This notice explains how personal information is used when you visit the Ramsell Construction website, submit a project enquiry, telephone the business or progress a possible project.

Who controls your information

The data controller is Refractory Consultancy Services Limited, trading as Ramsell Construction. Company number 09870178. Registered in England and Wales. Registered office: 31 Lady Nelson Gardens, Thorpe-le-Soken, Clacton-on-Sea, England, CO16 0FG.

Information we collect

A project enquiry may include your name, telephone number, email address, project postcode, service, project stage, preferred contact method, garage or timber-project details, intended use, drawings or permission status, hoped-for timing and anything you write in the project description.

We also create an internal, opaque lead ID so a successful submission can be recorded once and reconciled with later business stages. That ID is not shown on the confirmation page and is not sent to ordinary Google Analytics event parameters.

If you allow Advertising measurement, we may collect approved campaign labels, first- and last-touch source and campaign, device category and Google click identifiers such as GCLID, GBRAID or WBRAID. Unknown page parameters, URL fragments and unrestricted full landing URLs are not stored as lead attribution.

Telephone records may include the number used to reach us, call date and time, call duration, campaign attribution and whether the call passed the provisional meaningful-call threshold. The contents of a call are not recorded through this website implementation.

Why we use it and our lawful bases

  • To respond and take requested pre-contract steps: to understand the proposed work, contact you, consider a site visit, clarify scope and prepare a quotation where appropriate. The lawful basis is contract or steps taken at your request before a possible contract.
  • To manage genuine enquiries and projects: to avoid duplicate processing, assign follow-up, record qualification, site visits, quotations and outcomes, protect the business from spam or misuse and improve the enquiry process. The lawful basis is our legitimate interests in running and safeguarding the business, balanced against your rights.
  • To meet legal and record-keeping duties: including accounting, tax, insurance, dispute and regulatory records where applicable. The lawful basis is legal obligation and, where necessary, legitimate interests in establishing or defending legal claims.
  • For optional analytics and advertising measurement: approved non-essential storage and Google technology load only after the relevant choice. The storage/access gateway and associated processing rely on your consent. You can withdraw it at any time without affecting the enquiry form.

Formspree

The website form is processed by Formspree, which transmits the submission so it reaches the Ramsell enquiry inbox. Formspree acts as a service provider processing the form information. Its infrastructure is hosted with Amazon Web Services in the United States and Formspree states that it relies on Standard Contractual Clauses for transfers as a data processor. You can avoid the web form and contact Ron directly by telephone or email.

Hosting

Hostinger hosts the website and may process visitor server-log and security information on our behalf to deliver and protect the site. Hostinger states that information may be processed in the United Kingdom, the Netherlands, Lithuania, Cyprus and other jurisdictions needed to provide its services.

Google measurement and advertising

If configured and you provide the relevant choice, Google Tag Manager may load approved Google Analytics, Google Ads conversion and website call-measurement tags. The event named ramsell_form_completion is intended to contain only the form identifier, service identifier, landing and submission paths, device category and whether approved attribution was present. It must not contain your name, email address, telephone number, postcode, free-text project description, full landing URL or internal lead ID.

Qualified lead, site visit, quotation, won-project and contract-value stages may later be returned to Google Ads through an approved offline process so advertising can be assessed against business outcomes instead of raw form submissions. Where enhanced conversions for leads are enabled, directly supplied first-party contact information may be sent through Google's approved user-provided-data process, subject to the applicable consent and legal requirements. It is not added to ordinary GA4 event parameters.

Who can access the information

Access to the enquiry inbox and restricted lead register is limited to Ron and Andrew Ramsell and any specifically authorised person who needs access for website administration, measurement, professional advice or delivery of the agreed work. Relevant information may also be shared with professional advisers, building-control bodies or trusted specialist trades where reasonably required to assess, quote or deliver a project.

We do not sell personal information and do not use an enquiry to add you to unrelated marketing lists.

International transfers

Some providers may process information outside the United Kingdom. Where an adequacy regulation does not apply, we require the provider's appropriate contractual safeguard, such as the UK International Data Transfer Addendum or approved Standard Contractual Clauses, together with relevant security measures. Contact us if you want more information about the safeguard applicable to a specific provider.

How long we keep it

  • Unsuccessful or inactive enquiries: normally up to 24 months after the last meaningful contact, unless an earlier deletion request can be honoured or a dispute requires longer retention.
  • Active prospects: while the project remains under genuine discussion and normally up to 24 months after it becomes inactive.
  • Customers and completed projects: core contract, quotation, invoice, tax and project records are normally kept for up to seven years after the end of the relevant financial year or project, unless a longer period is required for a legal claim, insurance or another obligation.
  • Consent record: the website stores the current consent version, timestamp and category choices until you withdraw, clear browser storage or a new consent version is required.
  • Analytics and advertising data: retained according to the configured provider settings and reviewed so it is not kept longer than needed to assess the pilot and business acquisition.

Your rights

Depending on the circumstances, you can ask for access to your personal information, correction, deletion, restriction, portability or an explanation of its use.

You have the right to object to processing based on legitimate interests. You can also withdraw consent for optional Analytics or Advertising measurement at any time using Cookie settings. Withdrawal does not affect processing already carried out lawfully and does not prevent us keeping information needed for a different stated legal basis, such as a contract or legal obligation.
